Background Checks New Procedure Effective Jan., 1, 2014

 


The Archdiocese of Cincinnati background check system changed January 1, 2014.  All the regional fingerprint sites are now closed and all future background checks will now be conducted on line from any computer (Employees are still required to be fingerprinted.) 


What are the changes?

The diocese is replacing fingerprinting background checks with a thorough on line system (called selection.com) that automatically updates each person’s records every 90 days.  Once the individual has enrolled, they never have to submit to another background check.  Some employees will still have to have a fingerprint background check every five years as required by the diocese or the law.


Who needs a background check?

If the individual has never been certified in Virtus or ever had a background check are to log in to www.Virtus.org and register in advance for a class.  From now on, the enrollee will see four additional screens in addition to the Virtus registration screens.  These additional screens will be completed in full at the same time when registering for Virtus.   One screen will request payment.  Qualifying parishioners can request Fastrax tokens in advance of registering from either the parish or school office.  Your specific Fastrax token number will be inserted for payment in lieu of a credit card by the parishioner.  Fastrax tokens are issued only to St. Thomas More parishioners and employees.  The parish will not reimburse parishioners if they pay for the background check procedure with their own credit card. 


What if I already have been certified in Virtus, do I need a new background check?

Anyone that has not been fingerprinted since July 1, 2011, must complete the new on line background check process in order to continue employment OR volunteer.  This individual will (1) log into their Virtus account at Virtus.com, (2) Click on Toolbox, and (3) Click on Selection.com Background Check. 

The bottom of the Volunteer Information screen will request payment.  Qualifying parishioners can request Fastrax tokens in advance from either the parish or school office.  Your unique token number will be inserted for payment in lieu of a credit card by the parishioner.  The parish will not reimburse parishioners if they pay for the background check procedure with their own credit card. 

All parish organizations that work with children will be asked to submit a list of their current coaches, scout leaders, and volunteers.  A list will be returned to the organizations so they can communicate who needs Virtus and/or a background check.  This list will be returned to the organizations by the end of January 2014.  These lists will include all Booster coaches, Boy Scouts, Cub Scouts, Girls Scouts, Parish School of Religion, St. Thomas More Pre-School and School; Cafeteria, Youth Ministry, Mass Coordinators, Children’s Choir, to name a few.  All volunteers that need Virtus and/or a background check must be in compliance no later than July 1, 2014.

School and school support employees must be fingerprinted every five years. You can obtain a copy of the Archdiocese of Cincinnati-selection.com release form for school and school support associates here.


How do I find out when I was fingerprinted?

Key organizations will be supplied a list of their regular volunteers.  They have been informed of every ones status regarding Virtus and when they were fingerprinted and if they need an update.  Organizations will not have tokens or coupon numbers available to issue.

You can also call the parish or school office to find out your background check date.  The diocese requires anyone that was previously only fingerprinted in the last five fiscal years must submit and pass the on line background check prior to volunteering.


What if I was fingerprinted after July 1, 2011?

You do not need to go through the new on line background system at this time.  However, eventually everyone will need to do this.  If you wish to update your background check and were fingerprinted after July 1, 2011, you may do so now but you will need to pay the $25 fee on your own credit card.


If I qualify for a token, how do I get it to pay for the background check?

Please call or email either the parish or school office.  They will verify if you are an active St. Thomas More parishioner and you are in need of an on line background check.  If you meet these two requirements, they will issue you a unique seven digit Fastrax token.   When you get to the screen asking for the $25 payment, please key in your unique Fastrax Token number in lieu of your credit card.  These token numbers can only be used once by the assigned parishioner.  We will not issue tokens for non-parishioners.  Non-parishioners need to arrange for the background check by their own parish or school.


How will I find out the results of my background check?

When you complete the selection.com background check screens, you will be asked if you want a copy of your background check emailed to you.  The parish will only contact those individuals that do not pass a background check.  These individuals will be prohibited from volunteering with children. 


If I am an employee and I need a copy of my Ohio BCI fingerprint report, how can I get a copy?

Employees requiring a copy of their Ohio background check report may do so by contacting the state of Ohio.  For further information, please download a copy of the state's procedures.


What deadlines do I need to be aware of?


  • In order to be employed or volunteer, you must be certified in Virtus by June 30, 2014.

  • If you have not had a fingerprint background check in the last five years, you must complete and pass the on line check in selection.com before your expiration date.

     

  • If you are three or more Virtus bulletins behind beginning July 1, 2014, you will automatically be disqualified from employment or volunteering.  Your account will be changed to an "inactive" status. To be reinstated, you must catch up on your delinquent bulletins. 

  • School and school support employees must be fingerprinted every five years in addition to the on line background check. Employees must be fingerprinted at selection.com and no other site.
